I. General Questions

A template is a fixed framework, forcing users to adapt to it. BEUP's approach is reverse design: We survey your actual operational workflow first, then build the system to support that flow.

A truly effective system must fit an organization’s unique habits and characteristics, rather than feeling like an uncomfortable, off-the-rack suit.

BEUP does not directly store customer data. We set up the system directly within your business or personal accounts (Google, Notion, Obsidian...). You retain full control and access to your assets.

During the implementation process, we adhere to strict security protocols and sign transparent Non-Disclosure Agreements (NDAs).

Costs are determined based on the organization's scale (number of personnel), the complexity of the processes to be digitized, and the duration of our implementation partnership. We provide clear service packages after an initial survey to ensure the value delivered is commensurate with the investment.

II. BEUP Personal OS

Yes. The system, based on the Second Brain philosophy, helps classify and connect information by projects (Projects), areas of responsibility (Areas), and learning resources (Resources). This helps you gain a comprehensive overview without being overwhelmed by trivial details.

The onboarding process typically lasts 4–6 weeks and includes: understanding current habits, designing the information structure, digitizing sample data, practicing daily operations, and continuous optimization.

III. BEUP Business OS (EOS-aligned)

EOS is a practical set of tools that helps businesses achieve alignment in Vision, People, and Data. BEUP applies EOS to build systems that help SMEs operate more autonomously, reducing excessive reliance on leadership.

We don't dismantle what's already working well. BEUP will help “standardize” and “digitize” those processes so they can be easily trained, inherited, and measured for effectiveness with real data, rather than relying on intuition.

Training is the most crucial part of the Business OS service. We provide live training sessions and develop a set of digitized SOP documents so your team can independently operate and maintain the system after the implementation process concludes.

IV. Product & Format

These two tools solve two different problems.

Google Drive is a filing cabinet. You create folders, put files in, and open them when needed. Each file stands alone — an Excel sheet here, a Word document there, a PDF somewhere else. Want to know how they relate to each other? You have to remember or name the files cleverly.

Notion is different. Instead of just “storing things”, you are building a workspace. Information is organized into pages, databases, and most importantly — they can be linked together. A task can be linked to a project, a project to a client, a client to a contract. Everything resides within the same system, allowing for filtering and viewing from multiple perspectives.

Put simply:

  • Drive answers: “Where is my file?”
  • Notion answers: "How is my work running?"

If you only need a place to store files and share documents — Drive is good enough. But if you want to manage projects, track processes, or consolidate knowledge into a long-term usable system — then Notion is more suitable.

And in reality, many users use both: Drive to store original files, and Notion to coordinate everything around those files.

BEUP offers products in the following formats: Excel files (.xlsx), Google Sheets, Notion templates, PDFs, and Web Tools. Each product's available formats will be clearly stated on its product page.

Most Excel files can be opened on Google Sheets; however, some advanced formulas, formatting, or features (Data Validation, Conditional Formatting…) might display differently or encounter errors. If the product has both versions, it is recommended to use the version specifically designed for your platform.

Most products come in both versions. Specific details are listed on each product page. Some products are available in only one language depending on the primary target audience.

Yes. Each product includes usage instructions integrated directly within the file (instruction sheet, instruction page, or comments within the template). Some products also include separate video tutorials or PDF documents.

Yes. The models are designed based on the principle of “just input data, the system calculates automatically”. Input fields are clearly marked, include in-place instructions, and formulas are pre-programmed. You don't need to know how to write formulas to use them.

The default license is for personal use (single-user license). You can use it for your personal work or your organization, but you may not share, copy, or resell it to others. If you need a team license, please contact BEUP.

That depends on how you use the product every day. Each platform has its own strengths, and choosing the right tool will help you work more effectively from the start.

Choose Notion when you need to organize and link information. Notion excels at system building: creating databases, linking data between tables, filtering, grouping, and displaying in various formats such as tables, boards, calendars, or galleries. For example, you manage a project list, each project linked to tasks, each task assigned to a responsible person, with a deadline and status — open the dashboard and immediately see which projects are delayed, and who is overloaded. Notion is not suitable when you need complex calculations (multi-variable financial models, multi-layered nested formulas) or processing data tables with tens of thousands of rows.

Choose Google Sheets when you need real-time collaboration and moderate calculations. Multiple people can edit a file simultaneously, share easily via a link, and integrate well with Gmail, Calendar, and Drive. For example, a team of 5 people updating a marketing campaign budget spreadsheet — each person enters expenses, the total table automatically aggregates, and the boss opens the file to see the latest figures. Not suitable when files have tens of thousands of rows or use heavy formulas like macros, solvers, or power queries — performance will significantly decrease.

Choose Excel when you need computational power and offline work capabilities. Excel remains the standard for financial modeling, large data analysis, and automation with macros/VBA. For example, you build an interior construction cost estimation model with hundreds of items, each having formulas to calculate volume, unit price, adjustment factors, then compiled into a monthly cash flow report. It's not suitable when multiple people need to edit simultaneously or if you want to build a database-like data linking system — Excel does not have data relationships like Notion.

Choose a Web App when you want the simplest experience for end-users. A Web App runs in a browser, designed for a specific purpose — users just need to open a link, input data, and get results, without needing to know Excel or Notion. For example, a customer enters apartment area and chooses an interior style, and the system automatically estimates construction costs right on the screen. It's not suitable when you need to flexibly edit logic, add columns, or change formulas — any changes require modifying the code.

In summary: use Notion to build systems and link data, Google Sheets for light collaboration and moderate calculations, Excel for heavy analysis and offline work, and Web Apps for end-users to operate fastest without needing to learn the tool.

💡 Tip: Many BEUP products are available in various formats. If you're unsure, start with the tools you use daily. As your needs evolve, you can switch to a different format.
