Services — How we work together

Three approaches for us to work together.

Each approach is tailored to the level of involvement you want from us — from a comprehensive construction project to fine-tuning your existing tools or long-term partnership.

01 · Full Build

Systems built from scratch, tailored to you.

A Full Build is a complete system delivered for you — structure, data, automation, documentation. The right choice when your current setup is holding you back and you want one person to design and deliver the solution.

01 / 04 Brain

Business OS

Business OS Build

A connected workspace that becomes your team's single source of truth.

Does any of this sound familiar?

  • You are storing important information in five different places — and two weeks later no one can find it again.
  • Every time someone new joins the team, it is a week of "let me send you the link."
  • Every new project starts by copying an old folder and hoping nothing is missing.
  • You have tried Notion, ClickUp, or SharePoint, but it eventually turned into a graveyard of empty pages.

What it is

Business OS is the backbone of your operations — a connected workspace where wikis, projects, tasks, clients, and dashboards reside within a shared structure and are linked together. Deploy on the right tools your team is already using — Notion, ClickUp, SharePoint, Google Workspace, or Coda — following database-first principles so the system remains useful as you grow.

Where this helps

  • A consulting studio has 6 clients, 30 ongoing items, and no clear picture of what is overdue.
  • An independent creator is running courses, newsletters, and a YouTube channel on three disconnected tools.
  • A small operations team is transitioning from SharePoint folders to a structured internal wiki.

Included

Data structure 2–3 main dashboards Page templates & SOPs Handover video 14 days of support

Best for: Solopreneurs and small teams want to escape fragmented documents and scattered spreadsheets.

02 / 04 Track

Financial Model

Financial Model Build

A spreadsheet that turns numbers into decisions.

Does any of this sound familiar?

  • You are unsure if the current selling price is truly profitable after accounting for time, fees, and taxes.
  • There are months when cash flow is tight, but you do not know if it is a real problem or just a matter of timing.
  • You save money for taxes by estimating, then worry it will not be enough.
  • You want to launch a new product but do not have a clear understanding of the break-even point.

What it is

A financial model is an Excel or Google Sheets file custom-designed around the decisions you need to make — pricing, cash flow forecasting, tax planning, or asset performance analysis. Input data is clearly named; assumptions are documented; results are displayed on a concise summary table within one screen.

Where this helps

  • A content creator with income from YouTube, courses, and affiliates needs a clear picture of taxes and net income.
  • A rental property owner is considering whether to hold, refinance, or sell a property.
  • A founder is pricing a SaaS package and simulating MRR, churn, and cash flow for the next 18 months.

Included

Model file + assumptions 3 scenarios (good / average / bad) One-screen summary dashboard Instructional video 14 days of support

Best for: Founders, content creators, and small business owners need clarity before making financial decisions.

03 / 04 Flow

Automation

Automation Build

A workflow that handles a recurring task from start to finish, so you stop doing it manually.

Does any of this sound familiar?

  • You spend the first hour of your day copying information between tools.
  • Potential customers are missed because no one can follow up in time.
  • Weekly reports are manually created on Monday mornings by exporting CSVs.
  • You have heard of Zapier or n8n, but each attempt leads to a mess, and one tool update breaks the entire chain.

What it is

Process automation is a well-designed workflow — not just a disconnected zap — to move information between tools, handle predictable steps, and notify you when human decision-making is required. Built on n8n, Make, or Zapier, with error handling, retry mechanisms, and documentation for your team to maintain.

Where this helps

  • A website form → data enrichment → CRM → first personalized email, in under a minute.
  • New order on WooCommerce → processing task in Notion → customer email → review invitation after 7 days.
  • A YouTube video is posted → automatically converted into a LinkedIn post, X thread, blog draft, and newsletter item.

Included

Process diagram Build & testing Error handling & notifications Maintenance documentation 14 days of refinement

Best for: Those who spend hours each week on tasks that could run automatically.

04 / 04 Canvas

Reporting & Dashboard

Reporting & Dashboard Build

A clean, one-screen view of the numbers that actually matter to you.

Does any of this sound familiar?

  • Every morning you open five different tabs to check business performance.
  • You know the data is somewhere, but compiling it takes half a day.
  • Your team is still manually building the same weekly report, every single week.
  • Lots of data, but the picture is unclear.

What it is

A dashboard is a single, well-designed view that brings together your most important numbers — revenue, traffic, project progress, content performance, financial health — all on one screen you can read in 30 seconds. Built on Notion, Google Sheets, Looker Studio, or Power BI, depending on where your data resides.

Where this helps

  • Weekly KPI dashboard for a small e-commerce store: revenue, orders, best-selling products, refunds.
  • Content performance dashboard aggregating YouTube, blog, and newsletter metrics.
  • Project portfolio tracker for an agency: status, owner, hours used, profit margin.

Included

Metric & formula selection Intuitive layout Data connection Reading guide & maintenance 14 days of support

Best for: An operator wants to see a single screen instead of opening five different tabs.

02 · Fit Setup

A starting point you can trust, tailored to fit.

Shorter and more focused than a Full Build. Instead of designing from scratch, we start from a proven structure — a BEUP template, a known dashboard pattern, or a clear audit framework — and adapt it to your reality.

01 / 03 Multi-platform

Template + Setup

Template + Setup

Buy a BEUP template, get it installed and shaped to your business.

Does any of this sound familiar?

  • You bought a template that looked great in the demo, but never had time to set it up.
  • You do not want to redesign from scratch — you just want something that works.
  • You duplicated the template into your workspace, but are unsure how to adjust it to fit your workflow.

What it is

A short package: you choose a BEUP template, we set it up in your workspace, adjust the structure to fit, and guide you on how to use it. You'll have a working system ready to go by Monday.

Where this helps

  • You purchased the Solopreneur Business OS template and want to adjust it for your coaching activities.
  • You purchased the Content Creator Tax Planner and want it pre-filled with your actual income sources and tax rates.
  • You want to start with BEUP Product Master, but need assistance migrating your current portfolio into the system.

Included

Install template into workspace Adjust structure & views 30-minute guide 7 days of support

Best for: Someone who bought a template but wants a ready-to-use product, rather than building it themselves.

02 / 03 Canvas

Dashboard-in-a-Day

Dashboard-in-a-Day

One working day, one finished dashboard.

Does any of this sound familiar?

  • You know exactly which metrics you want to track; you just need someone to build it for you.
  • You do not want to spend three weeks on this — you want it done this week.
  • You have described your ideas to a freelancer, and the delivered product was far from your initial vision.

What it is

One focused sprint: we agree on metrics in the morning, build during the day, and deliver a complete version by the end of the day. Suitable when you know exactly what you need and require a reliable implementation.

Where this helps

  • Weekly revenue and order dashboard for the store, ready before Monday's planning meeting.
  • A "where we stand" dashboard for an upcoming launch.
  • A personal finance checklist that you actually open every Sunday.

Included

30 minutes metric alignment Build & connect data in one day End-of-day handover 7 days of refinement

Best for: Those who know exactly what they want to track and simply need someone to build it for them.

Architecture Audit

Architecture Audit

A 90-minute review and a one-page plan for what to fix and in what order.

Does any of this sound familiar?

  • Your workspace is becoming cumbersome, but you cannot pinpoint the cause.
  • You keep building one thing after another, and now nothing is cleanly connected.
  • You are considering rebuilding from scratch, but feel it might be an overreach.
  • You want a different perspective before investing in a complete overhaul.

What it is

A focused review session on your current workspace, model, or process. You receive a one-page plan: what is working, what is broken, what to fix first, what can wait. The lightest way to know if you need a system rebuild — or just a few well-placed changes.

Where this helps

  • A Notion workspace that started small and now has 200 pages with no clear navigation.
  • A spreadsheet model that consistently produces numbers no one trusts.
  • A workflow on Zapier or n8n that breaks every few weeks.

Included

Questionnaire before the review 90 minutes live review 1-page roadmap Loom summary video

Best for: Those who feel their system is off somewhere but are unsure where to start.

03 · Fractional Ops

The steady hand on your system.

After a build, most systems still need someone to care for them — keep documents up to date, refine workflows, and handle the small things before they grow. Not a full hire, not a one-time project, but a steady recurring presence on the system over time.

01 / 02 Multi-platform

On-demand Ops

On-demand Ops

A monthly retainer with no meetings required.

Does any of this sound familiar?

  • You do not need a full-time person — you need someone to handle accumulating small adjustments.
  • Your calendar is full; the last thing you want is another recurring meeting.
  • You maintain a 'when I have time' list of Notion adjustments, dashboard fixes, automation tweaks, and you never have time.

What it is

Monthly support package, designed to fit the way solopreneurs work: no calls, no Slack pings, no rush. You leave a request in a shared space, we respond with a Loom video, note, or minor adjustments — usually within one to two business days.

Where this helps

  • Add a new property and view to your Notion CRM each month as your business grows.
  • Update dashboards when you start tracking a new metric.
  • Refine automations when a tool changes its API.

Included

Fixed number of requests / month 1–2 business day response Asynchronous communication End-of-month summary

Best for: Solopreneurs who want someone to maintain their systems without adding more meetings to their calendar.

02 / 02 Multi-platform

Part-time Ops

Part-time Ops

A part-time presence inside your team, one to two days a week.

Does any of this sound familiar?

  • Your team is too small to hire a full-time ops person, but too busy to maintain systems themselves.
  • You need someone who understands your context, not a different freelancer for each project.
  • You want consistent improvement, not sporadic fixes.

What it is

A part-time collaboration model — one to two days per week — working directly within your team's tools, participating in key meetings, and overseeing a specific operational area: product catalog, automation, documentation, dashboards, or a particular workflow.

Where this helps

  • A 3-person creative team needs someone to manage their content pipeline and weekly reporting.
  • A small e-commerce brand needs to ensure catalog quality and regular sales channel synchronization.
  • A consulting studio needs continuous improvement for its project assignment system.

Included

1–2 business days / week Access to internal tools Weekly check-ins Quarterly reviews

Best for: Small teams needing regular operational support but not yet ready for a full-time hire.

Frequently asked questions

Before you book a consultation.

Which tool will you build in?
We work with the exact tools your team is using — Notion, ClickUp, SharePoint, Google Workspace, Coda, Excel, Google Sheets, Looker Studio, Power BI, n8n, Make, or Zapier. Structure is more important than software brand.
How is this different from buying a template?
Templates are a good starting point but are made for a generic buyer. Full Build designed around your actual processes. Fit Setup is the middle ground — starting from a template, ending with a tailored version.
How long does a Full Build take?
Most Full Builds take two to four weeks depending on scope. Smaller models or automations can finish in a week. We agree on the timeline before the build starts.
Do you work in English or Vietnamese?
Both. Deliverables, documentation, and meetings can happen in English, Vietnamese, or both — depending on your team.
What if I'm not sure which service I need?
Start with Architecture Audit. This is the easiest way to know if you need Full Build, Fit Setup, or just a few changes in the right places.
