I. General Questions
How is BEUP’s solution different from purchasing a ready-made template?
A template is a fixed framework that forces users to adapt to it. BEUP takes a reverse approach: we first study your actual operational workflows, then design a system that supports and fits those workflows.
A truly effective system must fit an organization’s unique habits and characteristics, rather than feeling like an uncomfortable, off-the-rack suit.
How is my data protected?
BEUP does not directly store client data. We set up the system within your own business or personal accounts (Google, Notion, Obsidian, etc.), ensuring that you retain full ownership and control over your data and access rights.
During implementation, we adhere to strict security protocols and sign clear, transparent Non-Disclosure Agreements (NDAs).
How is the service pricing determined?
Pricing is determined based on the size of the organization (number of team members), the complexity of the workflows to be digitized, and the level of support required during the handover period. We provide clear service packages after an initial assessment to ensure the value delivered is aligned with the investment. Yes. The system is built on the Second Brain philosophy, organizing and connecting information by Projects, Areas of responsibility, and Resources. This allows you to maintain a clear, high-level overview without being overwhelmed by fragmented details.

What does the onboarding process look like for individuals?
The onboarding process typically lasts 4–6 weeks and includes: understanding current habits, designing the information structure, digitizing sample data, practicing daily operations, and continuous optimization.

What is EOS (Entrepreneurial Operating System), and why is it important?
EOS is a practical set of tools that helps organizations achieve alignment across Vision, People, and Data. BEUP applies EOS to build systems that enable SMEs to operate more autonomously and reduce excessive dependence on leadership
We already have existing processes. How will BEUP work with them?
We do not dismantle what is already working well. BEUP helps standardize and digitize existing processes so they can be easily trained, transferred, and measured using real data rather than subjective judgment.
Does the service include training for team members?
Training is the most critical component of our Business OS service. We provide hands-on training sessions and develop a digitized SOP library so your team can operate and sustain the system independently after implementation.
IV. Product & Format
What is the difference between Notion and Google Drive? Which one should I use?
These two tools solve two different problems.
Google Drive is a filing cabinet. You create folders, put files in, and open them when needed. Each file stands alone — an Excel sheet here, a Word doc there, a PDF somewhere else. Want to know how they relate to each other? You have to remember yourself or name your files carefully.
Notion is different. Instead of just "storing things," you are building a workspace. Information is organized into pages, databases, and most importantly — they can be linked to each other. A task can be tied to a project, a project tied to a client, a client tied to a contract. Everything lives in the same system, filterable, viewable from multiple angles.
Put simply:
- Drive answers: "Where is my file?"
- Notion answers: "How is my work running?"
If you only need a place to store files and share documents — Drive is good enough. But if you want to manage projects, track workflows, or consolidate knowledge into a long-term usable system — Notion is a better fit.
In practice, many people use both: Drive to store original files, Notion to coordinate everything around those files.
What formats are BEUP products available in?
BEUP offers products in the following formats: Excel files (.xlsx), Google Sheets, Notion templates, PDF, and Web Tools. Each product page clearly states which formats are available.
Can I use an Excel file on Google Sheets? And vice versa?
Most Excel files can be opened in Google Sheets; however, some advanced formulas, formatting, or features (Data Validation, Conditional Formatting, etc.) may display differently or cause errors. If a product is available in both versions, we recommend using the version designed for the platform you work on.
Are products available in both English and Vietnamese?
Most products come in both versions. Specific details are listed on each product page. Some products are available in only one language depending on the primary target audience.
Do products come with user instructions?
Yes. Every product includes built-in instructions directly within the file (instruction sheet, instruction page, or comments within the template). Some products also include video tutorials or separate PDF documentation.
I'm not good at Excel — can I still use BEUP's calculation models?
Yes. All models are designed with a "just enter data, the system calculates automatically" principle. Input cells are clearly marked, on-the-spot guidance is provided, and all formulas are pre-built. You do not need to know how to write formulas to use them.
How many people can use a single purchased product?
The default license is a single-user license. You may use it for your personal work or within your own organization, but you may not share, copy, or resell it to others. If you need a team license, please contact BEUP.
For the same feature set, should I use Notion, Google Sheets, Excel, or a Web App?
It depends on how you will actually use the product every day. Each platform has its own strengths, and choosing the right tool will help you work more effectively from the start.
Choose Notion when you need to organize and connect information. Notion excels at system building: creating databases, linking data across tables, filtering, grouping, and displaying in multiple views such as table, board, calendar, or gallery. For example, you manage a project list where each project links to tasks, each task is assigned to a person with a deadline and status — open the dashboard and you immediately see which projects are behind and who is overloaded. Notion is not ideal when you need complex calculations (multi-variable financial models, deeply nested formulas) or when processing datasets with tens of thousands of rows.
Choose Google Sheets when you need real-time collaboration and moderate calculations. Multiple people can edit the same file simultaneously, sharing is easy via link, and it integrates well with Gmail, Calendar, and Drive. For example, a 5-person team updates a marketing campaign budget together — each person enters costs, totals update automatically, and the manager sees the latest figures instantly. Not ideal when files grow to tens of thousands of rows or use heavy features like macros, solver, or power query — performance drops noticeably.
Choose Excel when you need computational power and offline access. Excel remains the standard for financial modeling, large-dataset analysis, and automation via macros/VBA. For example, you build an interior fit-out cost estimate with hundreds of line items, each with quantity formulas, unit prices, adjustment factors, then consolidate into a monthly cashflow report. Not ideal when multiple people need to edit simultaneously or when you want to build a relational database structure — Excel does not support data relationships like Notion.
Choose a Web App when you want the simplest experience for end users. A Web App runs in the browser and is designed for a specific purpose — users just open a link, enter data, and get results, no Excel or Notion knowledge required. For example, a customer enters apartment size and selects an interior style, and the system instantly estimates fit-out costs on screen. Not ideal when you need the flexibility to edit logic, add columns, or change formulas — any changes require code updates.
In summary: use Notion to build systems and connect data, Google Sheets for lightweight collaboration and moderate calculations, Excel for heavy analysis and offline work, and Web App for the fastest end-user experience without needing to learn any tool.
💡 Tip: Many BEUP products are available in multiple formats. If you're unsure, start with the tool you already use every day. As your needs change, you can switch to another format.
